1. Who we are
Formcraft.io is operated by Winners Circle LLC ("we," "us," or "our"). This policy covers our website, workspace, and form services. Winners Circle LLC is the operator responsible for our own account and service information. Form owners decide what their forms ask and how they use the responses they receive; we process those responses to provide the service to them.
2. Information we collect
- Account information: your sign-in identifier, name, email address, and workspace name.
- Forms and responses: question content, answers, contact fields, files or media you upload, submission times, partial submissions where enabled, and results such as scores and tags.
- Source information: URL parameters that a form owner configures, such as a campaign source or referral identifier.
- Subscription information: plan, billing cycle, payment status, and Stripe customer and subscription identifiers. Stripe collects payment details through its checkout and portal; our application does not store full payment card numbers.
- Service information: upload sizes, integration destinations, delivery attempts and errors, and technical information used by our hosting and sign-in providers to operate and protect the service, such as request logs and device or network information.
- Correspondence: information you provide when you contact us.
3. How information is used
We use information to provide and secure accounts, display and deliver forms, save responses, enforce subscription allowances, process billing, provide support, troubleshoot errors, and comply with legal obligations. A form owner can use answers to choose the next question, calculate scores, assign tags, and map contact fields. These features follow rules configured by that owner.
We do not sell form responses or use them for targeted advertising. We do not use the answers to contact respondents on behalf of a form owner unless the owner configures a delivery or connection for that purpose.
4. Who receives information
A submitted response is available to the owner of that form. Owners may export responses or enable connections that send them to Google Sheets, WC Dialer, Winner’s Circle, or another configured destination. Those destinations and the form owner have their own privacy practices. Review the form owner’s notice before submitting sensitive information.
Service providers process information needed to operate Formcraft.io. These include OpenAI Sites for hosting access and ChatGPT sign-in, Cloudflare for application hosting and storage, Stripe for billing when enabled, and Google for configured Sheets connections. External media and booking services may receive network information when their content is loaded. Their policies also apply: OpenAI, Cloudflare, Stripe, and Google.
We may disclose information when required by law, to protect people or the service, or as part of a business transfer subject to appropriate protections. A change of operator will be reflected in this policy and communicated when required.
5. Browser storage and embedded forms
Sign-in uses necessary session technologies. Form settings may enable browser storage to save progress or record a cookie-consent choice. Clearing your browser storage may remove saved progress. A partial-submit point can save answers on our servers before the final submission. Embedded forms run within the website hosting the embed; that website may separately collect information under its own policy. Formcraft.io sends a completion notification containing the form and response identifiers to the embedding page, without including the answers.
6. Retention and security
We retain information as needed to provide the service, maintain accounts and records, resolve disputes, and meet legal obligations. Cancelling a subscription or deleting a form does not automatically erase previously submitted responses, delivery records, or uploaded files. Contact us to request deletion of account information; for a response, contact its form owner first. Records that must be retained for legal, security, or billing reasons may be kept for those purposes.
We use access controls, encrypted network connections, and provider security features to protect information. No system is completely secure. Keep your sign-in account and integration credentials secure, and avoid including passwords or payment card details in ordinary form fields.
7. Your choices and requests
Depending on your location and applicable law, you may have rights to access, correct, delete, or obtain a copy of your personal information, or to object to or restrict certain processing. You can update your workspace name in Settings and manage your sign-in details with your sign-in provider. Form owners can export completed responses as CSV and pause connected deliveries.
Send requests about your Formcraft.io account or our handling of information to the postal address below. Include enough information to identify the account or form, your request, and a way to reply. Do not include passwords or full payment details. We may verify identity or authority before acting. For responses collected by another organization, we will direct you to or assist the form owner as appropriate. You may also contact your local privacy regulator where applicable.
8. Children and international use
Formcraft.io accounts are intended for adults. The service is not directed to children under 13, and form owners must not knowingly use it to collect personal information from children under 13. Contact us if you believe such information has been collected.
Our providers may process information in the United States and other countries where they operate. Applicable protections and transfer requirements depend on the information and location involved; we do not represent that all information remains in one country.
9. Changes to this policy
We will update the date above when this policy changes. Material changes will be communicated through the service or another appropriate method, and we will obtain consent where required.
